You Didn’t Start an Agency to Put Out Fires All Day
A caregiver calls off at 6 a.m. A family is upset and threatening to leave. Payroll doesn't match the schedule. An audit letter just arrived.
If that sounds like your week, you are not failing. You are running a home care agency without a playbook built for the real world.
Most home care consultants learned the business from regulations, spreadsheets, or a corporate office. Tara Castro learned it inside a home care agency, keeping clients covered, calming families, and getting through audits and corrective actions.
That’s the difference agency owners feel in the first conversation.
Real Home Care Experience, Not Theory
Tara has handled the problems most consultants have only read about:
-
Keeping clients staffed when caregivers call off
-
Managing difficult family dynamics
-
Preparing for audits and responding to corrective actions
-
Fixing payroll problems before they cost you caregivers
-
Recruiting and retaining caregivers in a tight labor market
-
Navigating Medicaid waiver requirements
-
Running day-to-day home care operations
That level of experience can't be learned from a certification course.
HOW WE HELP
Home Care Consulting Services That Fix the Real Problems
Every agency is different, so every engagement starts with a free consultation and an honest look at where your agency is losing time, caregivers, clients, or money.
Home Care Operations Consulting
Stop running your agency from crisis to crisis. Tara reviews how work actually flows through your office and builds simple systems your team will use, including scheduling and call-off coverage plans to keep every client staffed, clear on-call procedures and escalation steps, defined office roles and responsibilities, daily checklists, and payroll and timekeeping workflows that match the schedule.
Audit Preparation and Corrective Action Plans
Walk into your next state survey or audit prepared, not panicked. Tara helps your agency get ready through mock audits and documentation reviews, policy and procedure gap analysis, corrective action plan writing and follow-through, and Medicaid waiver compliance support.
Caregiver Recruitment and Retention
Caregiver turnover is one of the most expensive problems in home care. Tara helps you hire better and keep the caregivers you have by developing recruiting pipelines and interview guides, improving onboarding, establishing recognition and regular check-ins, building support practices that strengthen caregiver loyalty, addressing stress, conflict, and burnout with care, and providing bilingual recruiting support for Spanish-speaking caregivers.
Client and Family Retention
Clients rarely leave because of one mistake. They leave because of how it was handled. Tara helps agencies strengthen client and family relationships through clear communication standards and scripts, effective complaint handling and service recovery, support for navigating difficult family dynamics, and caregiver-to-client matching designed to build lasting relationships.
Compliance and Policy Development
Strong policies and clear procedures help your agency maintain consistent operations and prepare for regulatory reviews. Tara helps agencies review and strengthen their policies and procedures, identify documentation gaps, establish clear staff responsibilities, and develop practical guidelines for daily operations, employee expectations, and client care. The goal is to create documentation your team can understand, follow, and maintain as your agency grows.
Owner and Leadership Coaching
Tara provides one-on-one coaching for agency owners, administrators, and office managers, offering a trusted sounding board for hard decisions, team conflict, crisis moments, and growth planning.
